The Finance, Procurement and Logistics division, of Elections Ontario (EO) is seeking highly motivated individuals for the position of Finance Assistant. In this position, you will be responsible for providing financial and administrative assistance to the Finance and Payroll team within the division.
What to expect in this role
Reporting to the Manager, Finance and Payroll, you will:
- Process all invoices and vouchers in accordance with established policies, procedures and regulations; reconcile supplier statements against expenditure records; maintain a filing system of purchase orders issued, reviewing purchase orders for goods received, liaise with suppliers/Warehouse & Facilities team to resolve problems.
- Process all manual payroll claims in accordance with established policies and procedures and review for accuracy, bringing any discrepancies or irregularities to the attention of the approving Manager for resolution.
- Ensure documents (invoices and expense claims) are properly coded for cost analysis and audit and execute data entry for timesheets and payables.
- Prepare and mail all accounts receivable invoices and maintain a log of all invoices issued and subsequently paid. Follow up with the responsible business unit on any discrepancies and past due accounts.
- Maintain files and records for all financial documents. Monitor and record retrievals of files by staff.
- Receive, record, and distribute incoming mail/invoices; prepare all outgoing mail/courier pickups/deliveries for the Finance and Payroll team.
- Provide project-based administrative and clerical assistance to the Manager and other staff members, as required.
What you need to qualify
- Minimum of 3 years of progressive experience in an accounting role.
- Good knowledge of financial, accounting and administrative procedures and practices.
- Excellent attention to detail skills.
- Ability to set priorities under tight deadlines.
- Excellent interpersonal, communication, customer service and organizational skills.
- Computer proficiency in Microsoft Office (Excel, Word).
- Experience with Great Plains and payroll is an asset.
- Must be legally entitled to work in Canada.
The successful candidates will be required to work in-office.
