About Us
The Faculty of Health Sciences is a large, diverse, and comprehensive unit, comprised of soon to be seven Schools (Nursing, Kinesiology, Health Studies, Physical Therapy, Occupational Therapy, Communication Sciences and Disorders and Food and Nutritional Sciences), a large Interdisciplinary Graduate Program in Health and Rehabilitation Sciences and four Research Centers. The Faculty has more than 4,000 undergraduate students and more than 900 graduate students (200 PhD students).
Responsibilities
The Manager of Operations & Finance, will work closely with the Directors to ensure the efficient and effective functioning of administrative processes and procedures in supporting the school in achieving its educational, research and clinical mandate. The role is responsible for management and leadership for operational and administrative processes across the school, financial management of the operating budget, direct supervisory responsibilities for full-time and part-time staff and developing a cohesive, collaborative, team-based work environment.
The Manager reports directly to the Director, for consultation on financial, operational, human resources, policy and planning matters and is accountable for the effective and efficient management of the administrative resources supporting the school. This role has a dual reporting relationship to the Director of Operations & Finance for the Faculty of Health Sciences for all budgetary and human resource functions. The Manager is a key member of the Operations & Administrative Team and participates in monthly Operations & Administrative Leadership meetings.
Qualifications
Education:
- Undergraduate degree in Business Management/Administration or related field
- Completion of or working towards Chartered Professional Accountant Designation and/or Certified Human Resources Professional Designation
- Master’s degree in Business, Public Administration or related field is preferred
Experience:
- 5 years of administrative, human resources, and financial experience in a complex office environment; experience managing staff and projects
- Experience in operations management, financial and budgetary management and oversight and human resource management and planning
- Experience with strategic planning, change management and project management
- Experience in a post-secondary educational setting is preferred
Knowledge, Skills & Abilities:
- Knowledge of general office procedures, best practices for assessing, developing and implementing new business processes and procedures
- In-depth knowledge of financial budgeting, analysis and principles, Human Resources principles and practices, collective agreement language and interpretation, Employment Standards Act and other relevant legislation
- Knowledge of best practices in building a strong collaborative team and leading people
- Project management skills to champion a project from conception to completion, and to ensure that team roles are clear, milestones are communicated and deadlines are met
- Familiarity with University policies and procedures and provincial legislation related to clinical teaching
- Communication skills with the ability to converse with, write reports for, and deliver presentations to all levels of the organization
- Analytical skills in the areas of financial and business management to draft budget proposals, forecast expenses and monitor relevant accounts
- Ability to organize and effectively manage financial and human resources needed to achieve results
- Advanced judgment, analytical and problem-solving skills with a consultative and collaborative approach to addressing issues and opportunities
- Results-oriented with the ability to motivate and coach employees to meet high performance standards, while working effectively as a member of the leadership team
- A well-defined sense of diplomacy including solid negotiation, facilitation, and conflict resolution skills
- Competency to maintain confidentiality and treat sensitive information with discretion
- Influential interpersonal skills that build positive and strong relationships at all levels of the organization
- Ability to handle details with a high degree of accuracy and to organize and prioritize a high volume of work to meet deadlines
- Ability to remain highly motivated, resilient, innovative, and collaborative when faced with challenges
- Advanced computer skills in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and with specialized databases (such as PeopleSoft Financials and Human Resources)
